Workspaces are the organisational backbone of GBPly. They group business profiles, team members, and subscriptions together. Whether you're a single business with one location or an agency managing dozens of clients, workspaces let you organise everything the way that works best for you. For most single-location businesses, the default workspace created when you sign up is all you'll ever need.

    Your Default Workspace

When you create your account, a default workspace is automatically set up and named after your email address. Your initial subscription is attached to this workspace.

If you're a single-location business, this default workspace is your home — your Google Business Profile lives here along with your subscription, credits, and all your data. There's nothing else you need to configure.

You can rename your default workspace at any time from the Workspace Settings page.

    When to Create Additional Workspaces

Additional workspaces are useful when you need to separate data, billing, or team access. Common reasons include:

Agencies — Create a separate workspace for each client to isolate their profiles, credits, and billing.

Multi-brand businesses — Separate locations by brand or region for clearer organisation.

Team access control — Different workspaces can have different team members with different roles.

Each workspace operates independently with its own subscription, credit balances, and usage limits.

    Subscriptions & Workspaces

Each workspace can have one subscription attached to it. The subscription determines how many profiles you can manage and which features are available.

A subscription's quantity controls your profile capacity. For example, one unit of a Pro plan gives you 10 profile slots. Increasing the quantity to 2 gives you 20 slots — all within the same workspace.

When you purchase a new subscription from within the app, it starts as 'unassigned'. You'll be prompted to create a new workspace or assign it to an existing one.

Subscriptions can be moved between workspaces you own, giving you flexibility to reorganise as your needs change.

    Creating a Workspace

Click 'Create Workspace' on the Workspaces page. Give it a name that describes its purpose — e.g. your agency name, a client name, or a region.

New workspaces need a subscription before you can add profiles. You can assign an unassigned subscription or purchase a new one from the Billing page.

    Inviting Team Members

Invite colleagues or clients to your workspace by email. They'll receive an invitation link to join.

If the invited person doesn't have a GBPly account, they can create one through the invitation link.

    Workspace Roles

Assign roles to control what each member can do:

Owner — Full control including billing, settings, and member management.

Admin — Can manage profiles, content, and settings but cannot modify billing.

Editor — Can create and edit content (posts, replies, Q&As) but cannot change settings.

Viewer — Read-only access to all data. Cannot make any changes.

    Switching Workspaces

Use the workspace switcher in the sidebar to move between workspaces. The active workspace determines which profiles and data you see.

Your subscription, credits, and usage limits are all workspace-specific.

    Moving Profiles Between Workspaces

Workspace admins can move a connected profile to another workspace they own or administer. All associated data (posts, reviews, insights, media) moves with it.

The Google account connection continues working after the move — you don't need to re-authorise.

To move a profile: Open the Profile Selection page, expand the 'Connected Profiles' section, find the profile you want to move, and use the 'Move' button to choose the destination workspace.

Make sure the destination workspace has an active subscription with available profile slots before moving.

    Archiving a Workspace

Workspaces you no longer need can be archived. Archiving preserves the data but removes the workspace from your active list.

Archived workspaces can be restored if needed.
